The new Work order screen

This feature was added in vintrace Version 6.3.1

Creating a work order

You can create a work order while in the Product Overview or the Tank Map but we recommend accessing the option under the File menu. This will launch the [CREATE] Work order screen.

Create 1

1 – Shows the work order status and current number of jobs in the work order. Please click here for the description of the different work order statuses.

2 – Scheduled date of the work order.

3 – User can enter a short summary for the work order, otherwise, when there is nothing entered, the system will auto generate a summary upon saving.

4 – In multi winery mode, user can select the winery the work order is intended for (user needs the “Can switch between winery facilities permission”).

5 – Assigned operator for the work order.

6 – Work order category you want to set for this work order. Please click here for more information on how to setup the work order category.

7 – Owner of the work order. This will default to the batch owner of the batches used in all the jobs if there is only one owner.

8 – Currently, the default is publish to paper work order. In a future release, user can select to publish to vintrace app so the work order will be available in the vintrace iOS mobile application.

9 – User who issued the work order.

10 – Select the bond for the work order (US only).

11 – User can select different note indicators for the work order. The note indicators are extremely useful as the ones you select appear in big and bold typeface on the top of the printed work order. You can add/edit note indicators by clicking on the pencil icon.

12 – Allows user to select standard notes, or you can directly type instructions/notes on the text box.

13 – Shows a list of all operations and selecting one adds it to the work order.

14 – Ticking the checkbox prints the work order upon saving.

15 – Brings up the print options (selecting print template and format) for the work order.

16 – Brings up the [CREATE] Work order template screen.

17 – Saves the work order according to the selected work order status. Please click here for the description of the different work order statuses.

 

Click on the Add Job button to select the Operation to add to the work order. Click on Save as button then select the status of the work order.

Viewing a work order

To view a work order, go to Consoles menu – Job management. Then in Job management, enter the work order number or click here and scan a barcode on a printed work order.

Click on the dropdown button beside Edit in the work order strip, then click on View.

This will bring up the work order in view mode.

View 3

1 – Clicking on the search button will bring up the TWL search dialog that allows you to search for work orders. You can also click the search button and scan a barcode on a printed work order to bring up the work order.

2 – Brings up the [UPDATE] Work order screen and allows you to update work order details such as Assigned to, Scheduled for, Category, Summary, Note indicators, Bond (US only), Winery, and Notes; and allows you to add more jobs to the work order.

3 – Brings up the Documents tab of the job so you can attach documents to the job.

4 – Brings up the operation screen for the job.

5 – Brings operation screen of the job in completion mode so you can complete the job.

6 – Deletes the job from the work order.

7 – Shows the work order history such as Assigned date, Pending date, and Completed date.

Updating a work order

To update a work order, go to Consoles – Job management. Then in Job management, enter the work order number.

Click on Edit button on the work order strip.

This will bring up the work order in update mode.

Re-arranging the order of the jobs in the work order

To change the order of the jobs in the work order, edit the work order, select the job and then drag the job up or down.

Once the job is in the correct order, save the work order.

Work order status

Below is a description of the different work order statuses in vintrace:

  • Draft – still preparing work order.  Not ready for work to start.
  • Ready – ready for work to start.
  • In progress – cellar hand as started work.
  • Submitted – cellar hand has finished the work for the work order.
  • Completed – data entry has been finalized and changes to tanks/batches/etc. have taken place.
  • Cancelled – This work order has been cancelled. Setting a work order to Cancelled deletes all non completed jobs on the work order.
  • Replay – this is special status for work orders created from the rollback and replay option in vintrace.
