Creating a work template that has multiple work orders

This feature was added in vintrace Version 6.1.1

In countries outside of USA, a Work Order is referred to as a Cellar Note. In keeping with regional terminology differences, please substitute Work Order for Cellar Note below.

You can create a template that has multiple orders by adding new or existing work orders.

Adding a new work order to a template

Let’s assume that you already have an existing work template, and you want to add a new work order to it.  Please click here on how to create a work template.

For the example below, we already have an existing work template for bottling. It currently contains a work order on bottling preparation and we want to add a new work order for (bottling) packaging.

Open the existing work order by going to Winery Setup – Templates – Work order templates and click on the work order template where you want to add the new work order.

The work  order template already has a work order for a bottling preparation with a few tasks on it.

Clicking on Next button shows the details of the work template like the vessel and batch used on the tasks.

Click on Back button to return to the main Jobs tab.

Click on Add Work order button.

A new work order is added to the template. We recommend that you add a meaningful description to the work order. Click on Edit button on the work order.

Click on Packaging.

In the Packaging screen, we have added the tank and batch that was used in the “Preparing for bottling” work order. We also entered the quantity and the stock item to be packaged.

Click on Save button to save the work order to the template.

The task is added to the work template.

Set the start time of the work order that you added and the duration of the packaging task. In the example below, we have set the 2nd work order to start exactly 1 day after the previous one. Click on the Next button.

In the work Details screen, the stock item, packaged quantity, and full transfer option has been added to the list that can be reused in a template. The batch and vessel are not re-added as they are already existing (from the previous work order).

The “Full transfer_4” item corresponds to the Full transfer checkbox from the Packaging operation screen.

For this example, we have updated the description of each item to be more memorable and marked the full transfer option as not required.

Click on Save work template button to save the template.

Adding a new inventory note to a template

For this example we have an existing work template that has 2 work orders, one for bottling preparation and another one for bottling (packaging). We want to add an inventory note to the work template for dispatching the packaged stock.

The job details for the existing template.

Go to the Jobs tab of the work template and click on Add Inventory Note button.

A new inventory note is added to the template. We recommend that you add a meaningful description to the inventory note. Click on Edit button on the inventory note.

Click on Dispatch.

In the Dispatch tab  we have added the party we are shipping to, the stock item being dispatched, and the quantity to be dispatched. Click on Add to inventory note button.

Click on Save button to save the inventory note.

The dispatch task is added to the inventory note in the template.

Enter the Start Time and Duration for the inventory note. For this example, we have set the start time of the inventory note to be 1 day after the previous work order. Then click on Next button.

You will then be asked to confirm again to select to allow either a list to be selected or vessel/batch to be used for the blend task in the first work order. Adding an inventory note resets all the job details on the current work order template.

The party field is added to the list of items that can be reused in the template. The stock item “BCF01 750ml” is not re-added as it is already in the list from the previous “Bottling (packaging)” work order. Please note that all the description you have previously in the work template is reset as well.

We recommend that you change the description of the fields to more meaningful ones. For this example, we have changed the description of all the fields.

Click on Save to work order button to save the changes to the work template.


Adding an existing work order to a template

Let’s assume that you already have an existing work template, and you want to add an existing work order to it.  Please click here on how to create a work template.

For the example below, we already have an existing work template for bottling. It currently contains a work order on bottling preparation and we want to add an existing work order for (bottling) packaging.

The job details of the current work template.

Let’s take for example that we want to add an existing work order for a bottling job where the tank “Tank-A” and batch “BCF01” is already existing in the work template above. The work order number is TWL1238.

Go back to the Jobs tab of the work template and type in the work order number of the work order you want to add in the Add Work order field. Select the matching result.

Alternatively, you can click on the search icon and search for the work order in the search dialog.

After selecting the work order, it is added to the work template.

By default, the work order description will show the work order number of the work order that was added. We recommend that you update the description of the work order to a more meaningful one.
